Activities and responsibilities of the Office and Archives Department:
The department of archives and archives of Bukhara State University is an integral part of the university. The Office and Archives Department operates in accordance with the University Charter and the existing Charter. In its practical activities it follows the orders of the Ministry of Higher and Secondary Special Education of the Republic of Uzbekistan, the orders and instructions of the university. In accordance with the laws of the Republic of Uzbekistan, Presidential Decrees, decisions of the Cabinet of Ministers on education and upbringing of the younger generation, organizes the timely delivery of instructions from higher organizations to the leadership of the university.
The following groups are assigned to the Office and Archives Department:
receipt and expenditure of documents;
delivery to the addressee;
Receipt of citizens' appeals, registration and binding of documents
The work in each group is carried out independently by the clerk and the courier under the direction of the head of the office and archive department in accordance with the job descriptions.
Ensuring the correct registration of documents entering the university, their timely registration and submission to the executors, the correct execution of the documents to be sent;
Receipt of documents coming to the university, their registration and submission for notification;
Submit documents for execution in accordance with the instructions of the Rector;
Check that the documents sent by the rector (vice-rector) are registered and properly executed;
Keeping records of incoming correspondence to the university, printing forms with the details of the university;
Attach executed documents to folders;
Sending documents to the executor in accordance with the instructions of the rector;
Execution of completed documents for archiving.
Receipt of documents from the Ministry through the Corporate Information System;
Make timely and high-quality copies;
timely receipt of e-mails, timely sending of necessary information;
check that the letter corresponds to the numbers in the folders at the time of receipt of documents;
check for applications when receiving mail without folders;
timely submission of documents to the executors by signing a special book in accordance with the instructions of the rector.
The office has a round seal with the name of the university.
Office and archive functions:
Arrange for proper registration, timely registration and submission of documents to the executors;
Ensuring the correctness of the documents issued by the university;
to receive documents addressed to the rector, to register them on a sheet of paper and submit them for notification;
send documents for execution in accordance with the instructions of the rector;
check the correctness of the documents signed by the rector (vice-rector);
keeping records of incoming correspondence, printing forms with university details;
attach executed documents to assemblies;
Execution of completed documents for archiving.
